Once a participant finishes training, you can close their training account. Since a participant can only have one training account open at a time, you may need to close an old account in order to add a new one. In Gazelle 1.0 you cannot close a support account.
This tutorial describes how to close an account.
Once an account is closed, it cannot be reopened. If you think you might need the account to be reopened, you might want to place a hold on the account instead. If the account you wish to close is on hold, you will need to remove the hold before you can proceed.
From the View Training Account page, select Close Account from the dropdown list and click Go. This will display the Close Account page.
Select an outcome from the Outcome dropdown list in the Account Outcome section. Did the participant finish the training, get placed in a job, drop out of the program, switch programs, or never start the program, etc.?
Enter the Actual End Date: This is the date that the participant completed the program, dropped out, moved, or was placed in a job. If necessary, the date the account is closed can be used as the actual end date. Enter a date by clicking on Calendar. A calendar will pop up. Click on the appropriate date to select it. You can also type the date in the Actual End Date field, using a valid date format (for example, 11/05/2005).
If appropriate, enter the Job Start Date. A participant might be placed in a job when they finish their training. If so, enter the date they start this job by clicking on the calendar button. A Calendar will pop up. Click on the appropriate date to select it. You can also type the date in the Job Start Date field, using a valid date format (for example, 11/05/2005).
If the participant has been placed in a job, enter the employer's name in the Employer field.
If the participant has been placed in a job, enter their job title in the Job Title field.
If the participant has been placed in a job, enter the hourly wage the participant earns in the Hourly Placement Wage field.
Hint: To cancel closing a training account, click Cancel at any time before you save and the View Training Account page will open.
When you are finished, click Save. This can be found at both the bottom and the top of the page. If something is wrong you will receive an error message in red at the top of the page. For example, you may have entered an end date that has not yet occurred. Correct the problem on the page below and click Save again in order to proceed.
Congratulations. You have closed a training account for your participant. The View Training Account page will open.
